Manage Your Subscription and Quotas

Quota Dashboard

The quota dashboard is your central view for understanding how much of your plan you have used. Open the Profile tab and look at the usage section at the top. You will see three visual progress bars:

  • Transcription minutes -- how many minutes of audio you have transcribed this billing period out of your monthly allowance (Free: 150 min, Pro: 1500 min)
  • Request count -- the number of individual transcription and AI analysis requests sent to the server
  • Storage -- how much cloud storage your synced audio files consume (Pro only)

Each bar fills from left to right and changes color as you approach your limit: green when under 50%, yellow at 50-80%, and red above 80%. This gives you an immediate sense of where you stand without reading numbers.

Usage Tracking

Below the progress bars, you can see a detailed breakdown of your usage history. Each transcription request is logged with the date, duration, and project name. This helps you understand which projects consume the most minutes and plan your usage accordingly.

Usage resets on the first day of each billing cycle. If you are on a monthly subscription, that is the anniversary of the day you subscribed. The reset date is displayed at the bottom of the quota dashboard.

Grace Period and Warnings

When your subscription is about to expire or has expired, 12scribe enters a grace period instead of immediately cutting off access. During the grace period, you keep full access to your existing recordings and data, but new transcription requests may be limited.

There are two warning states:

  • Warning state -- your subscription expires in fewer than 7 days. A yellow banner appears at the top of the Profile tab reminding you to renew. All features continue to work normally.
  • Critical state -- fewer than 3 days remain. The banner turns red and you receive a push notification if notifications are enabled. This is your last chance to renew before quota restrictions apply.

If the grace period expires without renewal, your account reverts to the Free plan limits. No data is deleted -- your recordings, markers, and transcriptions remain intact. You simply cannot create new transcriptions beyond the Free tier allowance until you resubscribe.

Important: During the critical grace period (fewer than 3 days), renew your subscription to avoid any interruption. Your data is never deleted, but new transcription and AI features will be limited to Free plan quotas.

What Happens When Quota Is Exceeded

If you reach your monthly transcription minute limit, the app shows a paywall screen when you attempt a new transcription. The paywall explains your current usage, displays the upgrade options, and lets you subscribe to Pro directly from that screen.

While your transcription quota is exceeded:

  • Recording continues to work normally -- you never lose the ability to capture audio
  • Existing transcriptions and markers remain fully accessible
  • Playback, search, and marker editing are not affected
  • Only new transcription and AI analysis requests are blocked

Queued transcriptions from offline recording will be processed once your quota resets or you upgrade.

Upgrade to Pro

To upgrade, open the Profile tab and tap Upgrade to Pro. The subscription is handled entirely through Apple's in-app purchase system. You can choose between monthly and annual billing -- the annual option includes a discount.

After upgrading, your new quota limits take effect immediately. Any pending transcription requests that were blocked by the Free quota are processed automatically. You also gain access to cloud audio backup, up to 3 devices, and advanced Pro features.

Cancel Your Subscription

To cancel, go to your device Settings then tap your name at the top, then Subscriptions, and find 12scribe in the list. Tap Cancel Subscription. Your Pro features remain active until the end of the current billing period.

After cancellation takes effect, your account reverts to Free plan limits. All your data remains intact -- recordings, transcriptions, markers, and projects are preserved. You can resubscribe at any time to restore Pro access.

Restore Purchase

If you reinstall the app, switch to a new device, or your subscription is not recognized, tap Restore Purchase on the Profile tab. This contacts Apple's servers and re-verifies your active subscription.

Restore is also useful when you sign in with your Apple ID on a new device and your Pro status does not appear immediately. The restore process typically completes within a few seconds.
