Share Without Sending Files
Sometimes you need to share a recording with a colleague, classmate, or client who does not have 12scribe installed. Instead of exporting audio files and attaching them to emails, you can create a secure shareable link that opens directly in any web browser. The recipient sees your recording with its transcription, markers, and timestamps — no app download required.
Sharing is a Pro feature. It works with any recording that has been transcribed. The shared page displays the full transcription text, all markers with their timestamps, and a built-in audio player so recipients can listen and follow along. You control how long the link stays active and who can access it.
How to Share a Recording
Follow these steps to create a shareable link:
- Open a project and select the recording session you want to share. Make sure the recording has been transcribed — sharing requires a completed transcription.
- Tap the Share button in the toolbar. The sharing configuration screen appears.
- Choose an expiration period for the link. You can select 7 days, 30 days, or no expiration. Shorter periods are better for time-sensitive content like meeting notes, while permanent links suit reference material you want accessible indefinitely.
- Optionally, enable password protection and enter a password. When set, recipients must enter the password before viewing the content. This adds an extra layer of security for sensitive recordings.
- Tap Create Link. The app generates a unique URL and copies it to your clipboard automatically. You can also share it directly via Messages, Mail, or any other app using the system share sheet.
The generated link follows the format 12scribe.com/shared/[unique-id]. Each link has its own unique identifier, so you can create multiple shares for the same recording with different expiration dates or passwords.
Expiration Options
Every share link has an expiration policy that determines how long recipients can access the content:
- 7 days — the link deactivates automatically one week after creation. Good for sharing meeting notes or lecture recordings that are only relevant in the short term.
- 30 days — the link stays active for a full month. Useful for study materials shared before an exam or project recordings that collaborators need extended access to.
- No expiration — the link remains active until you manually delete it. Best for reference recordings, training materials, or content you want permanently accessible.
After a link expires, anyone who tries to open it sees a message indicating the share is no longer available. Expired links cannot be reactivated — you need to create a new share if you want to grant access again. You can track all your active and expired links from the Shares management screen.
Password Protection
For recordings containing sensitive information — client meetings, private interviews, confidential lectures — you can add a password to any share link. When a recipient opens the link, they see a password prompt before any content loads. Only the correct password reveals the recording and transcription.
Set the password during the share creation flow. Choose something easy to communicate to your intended recipients but hard for others to guess. You can share the password through a separate channel — for example, send the link via email and the password via text message.
Password-protected shares show a lock icon in your shares list, making it easy to see which links have additional security at a glance.
View Counter
Every share link tracks how many times it has been viewed. The view counter increments each time someone opens the link and loads the shared content. You can check the current count from the shares list in the app.
The view counter helps you understand whether your shared recordings are actually being accessed. If you shared lecture notes with a study group of ten people and the counter shows two views after a week, you know most of the group has not checked the material yet. This is especially useful for educators and team leads who want to confirm that shared content is being reviewed.
