Manage and Delete Shared Links

One Screen for All Shares

Every share link you create is tracked in a single management screen. Open the Profile tab and tap Shared Links to see a complete list of every link you have ever created — active, expired, and password-protected alike. This centralized view gives you full control over who can access your recordings and for how long.

The shares list is sorted by creation date, with the newest links at the top. Each entry shows the recording title, creation date, expiration status, and current view count. You can scan the list quickly to check whether a specific share is still active or has already expired.

The Shares List

Each share entry in the list displays the following information at a glance:

  • Recording title — the name of the project and session that was shared
  • Creation date — when the share link was generated
  • Expiration date — when the link will stop working, or "No expiration" for permanent links
  • View count — how many times the link has been opened
  • Password indicator — a lock icon appears next to shares that require a password
  • Status badgeActive for working links, Expired for links past their expiration date

Tap any entry to see the full share URL. From there, you can copy the link again or share it through the system share sheet. This is useful when you need to resend a link without creating a duplicate.

Checking View Counts

The view count on each share tells you how many times someone has opened that link. Use this information to verify that shared content is reaching its audience. If you sent lecture notes to your study group and the view count stays at zero, the link may not have been received or noticed.

View counts update in real time when you open the shares list. Pull down to refresh if the screen was already open. The count reflects total page loads, so one person opening the link multiple times will increment the counter each time.

For educators and team leads, view counts provide a lightweight way to track engagement without requiring recipients to create accounts or confirm receipt. It is not a substitute for detailed analytics, but it answers the basic question: "Did anyone look at this?"

Tip: Check view counts before a meeting or study session to see who has already reviewed the shared material — it helps you decide what to recap and what to skip.

Delete a Share

To delete a share link, swipe left on it in the shares list and tap Delete. The link is deactivated immediately — anyone who tries to open it afterward sees a message that the share is no longer available.

Deleting a share does not affect the original recording. Your project, audio files, markers, and transcriptions remain untouched. Only the external access through that specific link is revoked.

Common reasons to delete a share:

  • The content is no longer relevant and you want to revoke access
  • You shared sensitive material and want to ensure it cannot be accessed further
  • You created a link by mistake and want to prevent anyone from using it
  • You want to create a fresh link with different expiration or password settings
Warning: Deleting a share link is immediate and permanent. Anyone with the link will lose access instantly, and the link cannot be reactivated.

Expired Shares

Links that have passed their expiration date appear in the shares list with an Expired badge. They remain visible so you can review their view counts and history, but they no longer grant access to the content. Recipients who try to open an expired link see a message explaining that the share has expired.

Expired links cannot be renewed or extended. If you need to grant access again after a link expires, create a new share from the original recording with a fresh expiration period. The new link gets its own unique URL and view counter.

You can delete expired links from the list if you want to clean up. Removing them has no effect on active shares or the underlying recordings — it simply tidies your management screen. To create a new share link for any recording, see Share Recordings via Secure Link.
