Notifications: Types, Preferences, and Push Settings

Notification Types

12scribe sends notifications for events that happen in the background -- when you are not actively looking at the app. Each notification type serves a specific purpose:

  • Transcription complete -- your recording has been fully transcribed and is ready to search, review, and annotate. This is the most common notification.
  • Sync complete -- a cloud sync operation finished successfully, meaning your data is up to date across all devices.
  • Grace period warning -- your subscription is expiring soon. You receive this when fewer than 7 days remain on your current billing cycle.
  • Grace period critical -- fewer than 3 days remain before your subscription expires. This is an urgent reminder to renew.
  • Quota exceeded -- you have reached your monthly transcription minute limit. New transcriptions are paused until the quota resets or you upgrade your plan.
  • Share events -- someone viewed a recording you shared, or a shared link is about to expire.

Push vs In-App Notifications

Notifications are delivered through two channels. Push notifications appear on your lock screen and notification center even when 12scribe is closed. In-app notifications appear inside the app in the notification center, accessible by tapping the bell icon on the Profile tab.

Push notifications require your permission. When you first trigger an event that would send a push (such as starting your first transcription), the app asks for notification permission. You can also enable or disable push notifications later in your device Settings under Notifications and then 12scribe.

In-app notifications are always active and do not require separate permission. They accumulate in the notification center with an unread badge count on the bell icon. Tap a notification to see its details, or tap Mark All as Read to clear the badge.

Per-Type Preferences

You can control exactly which notification types you receive. Open Settings and tap Notifications. Each notification type has its own toggle:

  • Turn off Sync complete if you do not need confirmation for every sync operation
  • Keep Transcription complete enabled so you know the moment your text is ready
  • Leave Grace period and Quota exceeded on to avoid unexpected interruptions

Disabling a push notification type only affects push delivery. The event is still logged in the in-app notification center so you can review it when you open the app.

Tip: If you use auto-transcription on multiple projects, keep Transcription complete push notifications enabled. You will know the moment each recording is ready for review without checking manually.

Grace Period Alerts

Grace period alerts are designed to prevent subscription lapses from catching you off guard. The warning notification fires once when you cross the 7-day threshold, and the critical notification fires at 3 days remaining.

These alerts are enabled by default and cannot be fully silenced in the per-type preferences. You can disable the push delivery, but the in-app notification will still appear. This design choice exists because missing a subscription renewal can limit your access to Pro features and pending transcriptions.

If you renew your subscription before the grace period expires, the alerts stop automatically and a confirmation notification confirms your renewal.

Quota Warnings

Quota warnings are sent at two thresholds: when you reach 80% of your monthly transcription minutes, and when you reach 100%. The 80% warning gives you time to plan -- either spread remaining minutes across priority recordings or upgrade before you run out.

At 100%, the quota exceeded notification explains that new transcriptions are paused. It includes a direct link to the upgrade screen so you can subscribe to Pro with one tap. Recordings you make while the quota is exceeded are saved normally and can be transcribed once the quota resets or you upgrade.

Quota warnings work in combination with the visual progress bars on the quota dashboard in your Profile tab. Together, they ensure you always know where you stand.
