Using 12scribe Across Multiple Devices

Access Your Projects Anywhere

12scribe lets you sign in on more than one Apple device so your lectures, markers, and transcriptions follow you between your iPhone and iPad. The number of devices you can use at the same time depends on your plan, and each device stays in sync automatically through the cloud.

Multi-device access is designed for the way people actually work: you record a lecture on the phone you always carry, then review the transcript at home on a larger iPad screen. No cables, no manual transfers — just sign in and everything is there.

Device Limits by Plan

Your plan determines how many devices can be linked to your account at the same time:

  • Guest (no account): 1 device only. Data is local and cannot be accessed anywhere else.
  • Free (registered): 1 device. Metadata syncs to the cloud for backup, but only one device can be active. To switch devices, you must first remove the current one.
  • Pro: Up to 3 devices. All linked devices sync metadata and audio automatically. Record on one, review on another — no extra steps needed.

If you reach your device limit and try to sign in on a new device, 12scribe will ask you to remove an existing device first. You can manage your device list at any time from Profile > Devices.

Adding a New Device

Setting up a second or third device takes under a minute:

  1. Install 12scribe from the App Store on the new device.
  2. Open the app and tap Sign In on the welcome screen.
  3. Sign in with the same Apple ID or email you use on your primary device.
  4. 12scribe begins downloading your projects automatically. Metadata arrives first — usually within seconds. Audio files follow in the background if you are a Pro subscriber.

Once the initial sync completes, both devices stay updated in real time. A new recording on your iPhone appears on your iPad the next time you open the app, and vice versa.

Tip: For the fastest first sync on a new device, connect to Wi-Fi. Metadata is small and syncs instantly, but audio files can be large if you have many recordings. See Cloud Sync: Keep Your Data Safe for details on what syncs and when.

Understanding the Primary Device

The first device you sign in on becomes your primary device. This label is mostly informational — it tells 12scribe which device was used first and helps resolve rare sync conflicts by giving priority to changes made on the primary device.

Key facts about the primary device:

  • The primary device is set automatically when you first create your account or sign in.
  • You cannot remove the primary device from your device list while other devices are linked. To change your primary, remove all secondary devices first, then sign in on the device you want to designate as primary.
  • The primary device is always shown at the top of your device list in Profile > Devices, along with the device name and model.
  • If you only have one device, it is automatically the primary — no action needed.

The last used timestamp next to each device in the list shows when that device last synced with the cloud. This helps you identify devices you no longer use.

Removing a Device

If you sell a device, hit your device limit, or simply want to clean up your list, you can remove devices from Profile > Devices:

  1. Open the Profile tab and tap Devices.
  2. Swipe left on the device you want to remove, or tap Edit and then the delete button.
  3. Confirm the removal. The device will be signed out and lose access to synced data.

Removing a device does not delete any data from the cloud or from your other devices. It only revokes that particular device's access. If you sign in on it again later, it will re-download everything as if it were brand new.

Note: You cannot remove your primary device while secondary devices are still linked. Remove the secondary devices first, or sign in on a different device to make it the new primary. Learn more about device management in Managing Your Devices.
